Reports & Insights
Warren's reporting tools give you the numbers you need to run a healthy studio — without needing to build spreadsheets. Insights shows you live metrics; Reports gives you exportable data for clients and stakeholders.
Insights dashboard
The Insights section (⌘5) is a live analytics dashboard. Everything updates in real time as hours are logged and projects progress.
Select a time range from the toolbar:
Key metrics
Four headline numbers at the top of Insights give you a snapshot of studio health:
| Metric | What it tells you |
|---|---|
| Total hours logged | All time tracked across the studio in the selected period |
| Weekly average | Average hours logged per week — shows consistency of time tracking |
| Team utilization | Logged hours as a percentage of total available capacity |
| Active projects | Projects with Active status and at least one hour logged in the period |
Utilization heatmap
The team utilization heatmap shows a grid of every team member × every week. Each cell is color-coded by that person's utilization that week:

|---|---|
| ■ Dark green | 80–100% — fully utilized |
| ■ Light green | 60–80% — good utilization |
| ■ Yellow | 40–60% — underutilized |
| ■ Gray | < 40% — low utilization or no time logged |
| ■ Red | > 100% — overloaded |
Hover over any cell to see exact hours and the projects being worked on that week.
Reports section
The Reports section (⌘7) generates structured data you can export as CSV files. There are three report types, each with a time range filter.
Time range options
Projects report
A summary of every project and its performance over the selected period. Columns include:
- Project name and client
- Status
- Start and end dates
- Total budget
- Hours logged
- Value of logged hours (hours × billing rate)
- Invoiced amount
- Remaining budget
- Burn status (On Track / At Risk / Over Budget)
This report is useful for monthly studio reviews, board reports, or tracking overall financial health.
Team report
A breakdown of logged hours by team member. Shows:
- Team member name and role
- Total hours logged in the period
- Hours by project
- Utilization percentage vs. capacity
Use this for payroll reconciliation, contractor billing, or tracking whether work is being logged consistently.
Invoices report
Pulled from Harvest, this report lists every invoice in the selected period with:
- Invoice number and subject
- Client name
- Issue date and due date
- Amount and status (paid / open / overdue)
- Linked Warren project
Good for accounts reconciliation and flagging clients with overdue payments.
Exporting to CSV
Projects and Team reports can be exported as CSV files for use in Excel, Google Sheets, or your studio's accounting software.
Go to Reports
Press ⌘7 or click Reports in the sidebar.
Select report type and time range
Choose Projects, Team, or Invoices. Set the time range for the data you need.
Click "Export CSV"
A Save dialog opens. Choose where to save the file. Warren exports all rows in the current filtered view.
