Estimates & Proposals

Quote work before you bill. Convert accepted estimates to invoices.

Create an Estimate

  1. Go to SettingsEstimates & Proposals
  2. Tap the + button
  3. Select the client
  4. Enter a title (e.g., "Website Redesign")
  5. Add an optional description
  6. Add line items with description, quantity, and unit price
  7. Set the tax rate (if applicable)
  8. Choose how long the estimate is valid
  9. Tap Create Estimate
Tip: The total is calculated automatically as you add line items. Review it before creating.

Manage Line Items

Each estimate can have multiple line items:

  • Description — What the work covers
  • Quantity — Number of units (hours, days, items)
  • Unit Price — Rate per unit
  • Total — Automatically calculated (quantity × unit price)

Swipe left on a line item to remove it. The estimate total recalculates immediately.

Estimate Statuses

  • Draft — Created but not sent to the client
  • Sent — Shared with the client, awaiting response
  • Accepted — Client approved the estimate
  • Declined — Client rejected the estimate
  • Expired — Past the valid-until date without action

Convert to Invoice

When a client accepts an estimate:

  1. Open the estimate details
  2. Tap Accept to mark the estimate as accepted
  3. A Convert to Invoice button appears
  4. Tap it to create an invoice with the same amounts and due date
  5. You're taken directly to the new invoice details
Note: Converting an estimate creates a new invoice with the estimate's subtotal, tax, and due date. The estimate is linked to the invoice for reference.

Validity Period

Estimates expire after the "valid until" date you set. Default is 30 days. An expired estimate shows an "Expired" status badge and cannot be converted to an invoice.
